Octagon Professionals is looking for a skilled and detail-oriented Staff Administration and ESA Payroll Officer to oversee payroll processes and employee records, ensuring compliance with internal policies and international regulations, as well as assist in interfacing with the external service provider. The post holder will be based in Frascati, Italy and will be integrated in the HR Support Service Division.
This role is essential in maintaining operational efficiency and supporting the well-being of the talented workforce in one of the world’s most prestigious organizations in space exploration.

Responsibilities include, but are not limited to:
- Prepare employment contracts following successful application;
- Carry out hiring and HR administrative onboarding of new staff;
- Handle individual contract and position administration during the entire employment period (contract extensions, reassignments to new positions etc.);
- Make bulk adjustments to the organisational structure in case of reorganizations;
- Carry out periodic verifications of entitlements upon request, in particular examining complex cases of entitlement to allowances by means of an enhanced management/analytical approach;
- Make the necessary payroll inputs for salaries, benefits and other compensation, as well as calculating ad-hoc payments;
- Handle systematic monthly payroll verifications to a level which satisfies the external auditors;
- Assist the Head of Service in interfacing with the external service provider to which parts of the ESA payroll have been outsourced;
- Time and leave management.
Requirements:
- Bachelor’s degree in Business or Public Administration, Human Resources, Finance, Informatics, Engineering, or a related field;
- The task has a strong payroll component and the personnel deployed should have a specific and in-depth exposure to payroll operations;
- Ability to acquire in-depth knowledge of payroll regulations, staff policies and compliance standards in the context of an international organisation is crucial.
- At least 4 years of relevant experience;
- Proficiency in Microsoft Office / Office 365 applications (mainly Word, Excel and related) and Adobe Acrobat;
- Proficiency in SAP SuccessFactors (EC module);
- Proficiency in SAP on premise Payroll (PY) and Time Management Modules (TM)
- Experience with SAP S/4 HANA (Cloud) is an asset;
- Office 365 automation tools (e.g. Power App/Power Automate) is an asset.
- Experience with Business Intelligence (BI) tools (e.g. PowerBI, Tableau), incl. advanced Excel skills is an asset;
- Discipline, professionalism and excellent attention to detail;
- Candidates must be eligible to work in the EU;
- Fluency in English, both written and spoken;
- Knowledge of French is an asset.
