In close partnership with a leading Japanese manufacturer, we are hiring an Office Support Specialist
in the heart of Amsterdam.

As Office Support Specialist, you will play an integral part in creating the foundations of a new office, setting up processes for the in-house team and offer your local knowledge of Amsterdam to help them settle. This will greatly aid their European expansion as leaders in the discovery, development, and processing of raw materials.

Responsibilities:

  • Assist in setting up and organizing the new Amsterdam office.
  • Manage incoming and outgoing communications, including emails, phone calls, and mail.
  • Act as the first point of contact for all in-house employees and communicate effectively with external stakeholders.
  • Arrange meeting logistics, prepare agendas, take minutes, and follow up on action items.
  • Monitor and order office supplies, ensuring that the workplace is well-equipped.
  • Organize and maintain physical and digital files, ensuring easy retrieval and confidentiality.
  • Input and update information in databases, maintaining accurate and up to date records.
  • Support basic financial administration tasks, including invoicing and expense tracking.
  • Utilize office software and tools to support the in-house team as required.
  • Provide recommendations for local leisure activities, including cultural attractions, entertainment venues, and restaurants.

Qualifications:

  • Excellent communication and interpersonal skills
  • Proven organizational and multitasking skills
  • Fluent language skills in Japanese and English
  • Local knowledge of Amsterdam and surroundings
  • Proficiency in Microsoft Office Suite
